Concept

Void, in general, means invalid, unenforceable, having no legal force or effect.

A check rendered null and void for any purpose; one common reason that someone might void a check is so they can submit it to their employer to establish direct deposit. Additionally, voided checks are created in order to avoid fraud, such as preventing a check from being cashed when there is an error or discrepancy between the written value and the numeric value. Checks can be voided out by the payer by writing the word “VOID” in large letters on the face of the check, having the payer contact the issuing financial institution and informing them to stop payment, and/or tearing the check in half.

How to Void a Check – Avoid Fraud and Unauthorized Withdrawals

A check is physical, legal contract that effectively represents a promissory note to pay the amounts indicated in numeric and written values, to the payee designated in the “pay to” section. Your signature authorizes the amount indicated to be withdrawn from your bank account and transferred to the payee’s account where the check was presented for deposit.

A voided check may be requested by an employer for direct deposit set up or creditor for direct debit. The organizations need the information on the check, but not an actual payment from it. A check may also need to be voided for errors in dates, payee information or amounts. Banks prefer such errors be voided and a new check written to avoid “edits” that raise concerns. Checks are vulnerable to fraud as the “payor” (you – the account holder) does not need to be present for someone else to deposit a check to their accounts. Therefore, keeping control of the location of your checkbook and an accurate inventory of checks is critical.

Take the following steps when voiding a check:

  • Use a black or blue pen – NEVER pencil, or anything that can be erased
  • Write the word VOID in large, clear letters on the PAYEE LINE
  • Write the word VOID in large, clear letters in the PAYMENT AMOUNT BOX
  • Write the word VOID in large, clear letters on the SIGNATURE LINE
  • Record the check is voided in your check register on and or offline
  • If the voided check is to be sent to set up direct deposit or debit, make a copy for your records
  • Online checks – use the options in you banking service access to void a check number

NOTE: if a check has already been given to a payee, the only way to cancel it is to contact your financial institution and request a stop payment for a fee.

Voiding a check involves rendering the legal contract un-usable. Correctly voiding a check is critical to avoid fraud and having unauthorized funds withdrawn from your checking account.
